Member Message
The Enter/View Member Messages tab allows users to create messages for information that must be delivered to members. This functionality will be of use when an outsider or any member of the property requests the front desk personnel to deliver their message to the member. The messages created here can be viewed when a user searches for that member in the Member Verification screen, or sent to the member’s phone or email, if configured.
Perform the following steps to view or create messages for the member:
Navigate to Membership à Enter/View Member Messages.
By default, the All Messages option is selected and all delivered and undelivered messages are displayed in the grid. The name of the logged in user and the breakdown of the delivered, undelivered, and important messages are displayed in the left pane of the screen.
Click the Add icon to create a new message.
Refer to the following table and fill in the fields:

Message From |
The name of the person who wants to convey the message to the member. Up to 50 alphanumeric characters are supported. |

Important |
When enabled, the message will be categorized as an important message. By default, all (delivered and undelivered) messages are displayed in the message grid; however, important messages are also grouped and displayed under the Important Messages option. |

Subject |
A small write up of the actual message. Up to 100 alphanumeric characters are supported. |
|
Account Code |
Search for and select the preferred member account to which the message must be delivered using the Member Account Search option. |

Account Name |
The name of the account holder. The value of this field is auto populated based on the selected account code. |

Message To |
The names of the main member and all additional members (if any) will be listed as options in the drop-down list. When selecting any option, the name of the main or additional member will be auto populated in the Name field. In addition, the user can also select Any from the drop-down list and enter the name of any other person (who is using the account) to whom it must be delivered in the Name field. |

Name |
The name of the main member or the additional member is auto populated based on the option selected in the Message To drop-down list. |
|
Phone |
When enabled, the contact information of the member account will be automatically filled in the Country Code and Phone Number fields. If there are multiple contacts in the account, the user can select any other contact number from the drop-down list. |

Country Code |
The country code for the phone number. The value in this field will be auto populated when the Phone option is selected. |

Phone Number |
The contact number of the member account. The value in this field will be filled in automatically when the Phone option is selected. However, if there are multiple contact numbers, the user can select any other preferred contact number from the drop-down list. |

When enabled, the email address of the member account will be automatically filled in the Email field. |
|
|
The email address of the member account. The value in this field will be filled in automatically when the Email option is selected. However, if there are multiple email addresses, the user can select any other preferred address from the drop-down list. |

Enter Your Message |
The content of the message that must be delivered to the member. Up to 500 alphanumeric characters are supported. |

Mark As Delivered |
When enabled, it indicates that the message has been delivered to the members. |
Click Send to forward the message to the receiver/member. Users can also click the Save as Draft option to save the message for later use.
Users can also perform the following actions in the Enter/View Member Messages:

Filter the messages displayed in the grid by selecting a date from the Date field under the Filter By section.

View only the messages that were marked as Important by clicking the Important Messages option.

View only the messages that were saved as a draft by clicking the Draft Messages option.

View only the undelivered messages in the grid by enabling the All Undelivered Messages toggle switch under the Filter By section. This switch can also be used to view important messages that are in the Undelivered status.

Expand or collapse the left pane using the Expand/Collapse icon.

Print the selected message details using the Print icon. The user can also select multiple messages from the grid and click the Print icon to print all selected messages at once. To print the details of all messages in the grid at once, select the checkbox next to the Search By Account Code option and click Print.

Delete the selected message record using the Delete icon. The user can also select multiple messages from the grid and click the Delete icon to delete all selected messages at once. To delete all messages in the grid at once, select the checkbox next to the Search By Account Code option and click Delete.

Search for messages created for a specific account by entering the account code in the Search By Account Code option.
